FreightDesk ("we", "us", "our") is operated by Flightdeck, Inc. This Privacy Policy describes how we collect, use, and protect information when you use our website and services.

Information We Collect

Information you provide: When you contact us, request a demo, or create an account, we collect your name, email address, company name, phone number, and fleet details (fleet size, ELD provider).

ELD and telematics data: When you connect your ELD system, we access GPS location data, hours of service records, and geofence entry/exit timestamps for the purpose of detecting and documenting detention events. We do not access driver personal information beyond what is necessary for detention tracking.

Rate confirmations and load documents: When you upload or forward rate confirmations, bills of lading, or proof of delivery documents, we process these to extract detention terms, rates, and submission deadlines.

Usage data: We collect standard web analytics (pages visited, time on site, referral source) using cookies and similar technologies.

How We Use Your Information

We use collected information to:

  • Detect detention events and calculate billable time
  • Generate and file detention claims on your behalf
  • Track claim status and manage follow-up communications
  • Provide facility and broker detention analytics
  • Communicate with you about your account and our services
  • Improve our products and services

Data Sharing

We do not sell your data. We share information only in the following circumstances:

  • With brokers: When filing detention claims on your behalf, we share relevant documentation (timestamps, geofence data, rate confirmation terms) with the broker identified on the load.
  • Service providers: We use third-party services for hosting, email, and analytics. These providers are bound by confidentiality agreements.
  • Legal requirements: We may disclose information if required by law or in response to valid legal process.

Data Security

We use industry-standard encryption (TLS 1.2+) for data in transit and AES-256 for data at rest. ELD credentials are encrypted and stored separately from other account data. We conduct regular security reviews and limit employee access to customer data on a need-to-know basis.

Data Retention

We retain ELD and detention data for as long as your account is active plus 12 months. Rate confirmations and claim documentation are retained for 24 months to support dispute resolution. You may request deletion of your data at any time by contacting us.

Your Rights

You may request access to, correction of, or deletion of your personal data at any time. You may also request that we stop processing your ELD data by disconnecting your integration. To exercise these rights, contact us at ian@getflightdeck.io.

Changes

We may update this policy from time to time. We will notify you of material changes by email or through a notice on our website.
